Manage who can view, edit, or delete data sets and dashboards

You work with complex datasets and multidisciplinary teams. To help you manage your data responsibly, there are different ways you can grant or limit access to a data set or dashboard.

Global permissions

Assign access levels across all of UpMetrics

How to change someone’s role and access level across UpMetrics via Organization settings.

  1. Select Settings in the lower left corner to open the settings menu.

  2. Open Organization settings.

  3. Select the Team members tab.

  4. Select the + Team member button to add a new team member.

  5. Include the desire role to determine the team member's permissions.

  6. To edit the permissions for an existing team member, select the kebab menu to the right and then select Edit team member.

These roles have specific permissions for data sets and dashboards

Viewer: Can only see a dashboard or dataset that they have access to.
Editor: Can view, edit, and share the dashboard or dataset they have access to.
Org Admin: Has full control over the dashboard or dataset, including adding or removing users that they have access to.

Global settings apply across UpMetrics

Making an edit to a team member's role at this global Organization settings level will apply those permissions consistently across all data sets and dashboards shared with the entire organization.

Local permissions

Common scenarios you may need help with

  1. How to add new users if you've created a data set or dashboard with Private access.

    Let's say you're the creator of a dashboard or data set with Private access and you want to add new users. In Private access, creators are not allowed to add new users. You would have to change Permissions access to Share with organization.
  2. Permissions that have changed between Private and Share with Organization.

    When permissions change from Private to Share with Organization and then back to Private, all access established in Share with Organization state are removed and it is now only accessible by the creator.

    When permissions change from Private to Share with Organization to Private and then Share with Organization, access will return to Share with organization state and permissions will depend on you or your teammate's roles.

How to change someone’s permissions for a specific data set

If you would like to adjust the permissions for a data set, you can do so from that data set’s team member permissions. 

Only the creator can edit permissions of private data sets or private dashboards. Only creator, org-admins, and users granted with "own" permissions can edit permission for a data set or dashboard that’s shared with organization.

Permissions for a specific user can be overwritten or upgraded despite their roles: e.g. users who have viewer roles can be given edit or own permissions and those permissions will be upgraded, but only to the specific data set or dashboard; the same applies for users with editor roles.

  1. From under the Collect section, open your Data sets.

  2. Select the kebab menu on the right of the desired data set and open Edit permissions.

  3. From here, you can switch between Private and Share with entire organization permission settings. You can also grant specific team members specific permissions levels. Select Done to save your progress and continue.

View: Can view the dataset, but not edit the data or permissions.
Edit: Can view and edit the dataset, but not the permissions.
Own: Can view, edit and delete the dataset and can edit permissions. 

How to change someone’s permissions for a specific dashboard

For dashboards and datasets, you can override a teammate's permissions and grant them more access. This is useful for bringing a new teammate into your workflow, or granting a client access to specific information without altering their global role and access to every dataset or dashboard under your organization’s account.

  1. To edit the permissions for an existing dashboard, from under the Analyze section, select the kebab menu to the right of a dashboard and open Edit permissions.

  2. From here, you can grant specific team members specific permissions levels. Select Done to save your progress and continue.

Viewer: Can view the dashboard, but not edit the data or permissions.
Editor: Can view and edit the dashboard, but not the permissions.
Owner: Can view, edit and delete the dashboard and can edit permissions.
