Understand reporting cycles and reporting periods
A reporting cycle and a reporting period each describe a different scope of time related to data collection. Knowing which is which makes it much easier to plan a report.
A Reporting Cycle is the overall data collection effort for a Program (who reports, how often, and for how long), while a Reporting Period is one specific collection window inside that cycle, where each participating organization submits one report. Put simply, the cycle is the container and the periods are the check-ins within it.
Reporting Cycle
- A time-bound data collection effort for a Program, collecting the impact of one or more organizations through standardized forms and process.
- Defines the participating organizations and the reporting cadence, and contains one or more Reporting Periods. It can span a single year or a multi-year commitment.
- Cadence options include monthly, quarterly, bi-annual, annual, or one-time, plus a duration that can be ongoing. Analytics are organized as one table per cycle.
- Example: quarterly reporting on an annual cycle, or annual reporting on a 5-year fund cycle.
Reporting Period
- A time-bounded collection window within a cycle. Each participating organization produces one Report Submission per period.
- Each period has its own set of Report Forms, which can go to all or only some organizations.
- It has specific dates for the period the impact data covers (e.g., 01/01/2026 to 12/31/2026), and period, notification, and due dates can be the same or different across receiving organizations.

Analogy: Think of a school year. The Reporting Cycle is the school year itself (it sets who is enrolled and that report cards come out each term). Each Reporting Period is a single term, and each student (organization) gets exactly one report card (submission) per term. The full hierarchy is Program (the school) → Cycle (the school year) → Period (the term).
